Privacy policy

PolicyCare is an Android app that insurance agents use to organise their own work. This policy explains what happens to the information agents enter in the app.
- Everything stays on the agent's phone. PolicyCare has no servers and no accounts, and the developer receives none of the agent's data.
- The data is encrypted on the phone, and documents are encrypted separately.
- Data leaves the phone only when the agent chooses: saving or sharing a backup or report, sending a WhatsApp message, or calling a customer.
- The agent can delete everything at any time (Settings → Erase all data).
Information stored
The information the agent enters about customers and their families, such as:
- names, contact details, dates of birth and anniversaries, height and weight;
- permanent and communication addresses;
- Aadhaar number and PAN, and scans of ID cards when the agent uploads them;
- policies, plans, premiums, payments, reminders, follow-up notes and documents.
The agent is responsible for having their customers' permission to keep this information, as they would for paper records.
How it is protected
- The database is encrypted. Its key is kept in the Android Keystore and is unique to the phone.
- Documents are encrypted with AES-256-GCM.
- An optional PIN (stored only as a salted hash) and fingerprint unlock protect the app, which can also lock automatically. By default the app hides its content in Recent apps and blocks screenshots.
- Android's automatic cloud backup of app data is turned off, so data is never copied to a Google account without the agent's choice.
Backups
A backup is a single file encrypted with a password the agent chooses. Without the password nobody can open it, including the developer. The file goes only where the agent saves or shares it, or to the agent's own Google Drive (see below).
Google account and Google Drive (optional)
The agent may sign in with a Google account. Then:
- PolicyCare receives the account's name and email address, used to fill in the agent's profile;
- encrypted backups are uploaded to a "PolicyCare Backups" folder in the agent's own Google Drive – when the agent asks, and once a day on Wi-Fi if automatic backup is turned on;
- backups are encrypted on the phone before upload, so Google cannot read them. For automatic backups the backup password is kept in the phone's secure storage;
- PolicyCare asks only for access to files it creates itself (Google's
drive.filepermission). It cannot see the agent's other Drive files.
Signing out stops automatic backups and removes the saved password. PolicyCare's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Sharing
PolicyCare opens other apps only when the agent taps: WhatsApp (with a message the agent can edit before sending), the phone dialler, or the share sheet for reports, backups and documents. Nothing is sent automatically. PolicyCare contains no advertising and no analytics or tracking.
Subscription and payments
- PolicyCare is sold as a subscription through Google Play, with a free trial for new subscribers.
- Payment is handled entirely by Google Play. PolicyCare never sees payment details.
- The app asks Google Play only whether the subscription is active and which plan it is, and keeps that answer on the phone so the app works offline for a while.
- Founding members use PolicyCare free. To recognise them, the app compares the signed-in Google account with a list built into the app. This happens on the phone; nothing is sent anywhere.
- When a subscription ends, nothing is deleted. The app becomes read-only: records can still be viewed, exported and backed up.
Permissions
| Permission | Why |
|---|---|
| Notifications | Optional reminders. On a locked phone they show only that PolicyCare has a reminder, not customer names or amounts. |
| Run at startup | Restores scheduled reminders after the phone restarts. |
| Biometrics | Optional fingerprint unlock. |
| Vibration | Notification alerts and feedback on a wrong PIN. |
| Internet, network state | Google sign-in, Drive backups (Wi-Fi check before automatic backups) and checking the subscription with Google Play. |
| Google Play billing | Buying and checking the subscription. |
PolicyCare does not request access to contacts, location or device storage.
Deleting data
Settings → Erase all data permanently removes all records, documents and settings from the phone. Uninstalling the app also deletes its data. Backups the agent saved elsewhere are not affected. To remove PolicyCare's access to Google Drive, the agent can sign out in the app or remove access in their Google Account settings.
Children
PolicyCare is a business tool for adult insurance agents and is not directed at children.
Changes
If this policy changes, the new version will be published on this page with a new date.
